Executive Summary

To strengthen safety and compliance in industrial operations, Teiva Systems developed a ServiceNow-native application that automates the Lockout/Tagout process—ensuring that equipment is properly isolated before maintenance. The solution leverages AI-driven guidance, QR-based asset identification, and offline mobile functionality to enhance field safety, accuracy, and operational control.

Business Challenge

The solution to be developed had to offer robust mobile usability under difficult field conditions (e.g., without network coverage), maximum traceability, and valid status tracking for maintenance measures. Furthermore, integration with existing systems and certification for the ServiceNow Store were required. Complex stakeholder structures and high usability and data security requirements increased the implementation challenges.

Solution & Business Value

In the initial scoping phase, relevant work processes were identified through interviews with specialist staff and field staff. Based on these requirements, the team developed a modular, platform-compliant scoped application based on ServiceNow with a separate mobile architecture.
Implementation was carried out using an agile (SCRUM) approach in two-week sprints with review workshops. A special feature was the implementation of a QR code component that enables unique identification of valves and devices in the field. Another key application feature was implementation of an AI agent that can read floor plan documentation and provide detailed safety instructions for a particular lock-out/tag-out case. The application supports offline functionality via the ServiceNow Mobile App.

Connection to an internal asset management system via REST API
SAML – based IAM integration
Sending emails via Exchange
Support for platform-specific test automation (ATF)
Integration to external AI service
Use of Mobile SDK and Scoped UI Policies

The application has been prepared for publication in the ServiceNow Store and successfully certified.
Knowledge transfer was achieved through structured online training, a comprehensive admin manual, training videos, and handover workshops. Regular sessions and documented configuration instructions enabled the client to independently manage operation and further development in the future.

Team and roles

The project team consisted of project management, ServiceNow architecture and development (mobile & backend), QA/test automation, and process consulting. Close collaboration with the client took place in an agile model with regular involvement of specialist departments, IT security, and technical contacts.
