We are looking for a Remote Office Manager to join our Teiva Systems Team!
Requirements:
- Good level of English (both – written and oral);
- Proven experience as an office manager, administrative assistant, or similar role;
- Strong organizational skills with the ability to manage multiple tasks and priorities;
- Excellent communication skills, both written and verbal;
- Proficiency in using office software (e.g., Microsoft Office, Google Workspace) and virtual meeting platforms (e.g., Zoom, Teams);
- Ability to work independently and manage time effectively in a remote setting;
- Experience in event planning, travel coordination, or corporate communications is a plus.
Responsibilities:
1. Business Trip Coordination:
- Plan and book transportation (flights, trains, transfers) and accommodation for employees;
- Ensure all travel arrangements align with company policies and budget requirements;
- Provide detailed itineraries and support employees during their trips.
2. Corporate Event Management:
- Organize and coordinate corporate events, including team-building activities, holiday parties, and company meetings;
- Handle event logistics, such as venue selection, catering, and technical setup;
- Manage communication related to events, including invitations and RSVPs.
3. Employee Birthday Celebrations:
- Track employee birthdays and arrange appropriate greetings or celebrations;
- Coordinate and send gifts or organize virtual/in-person acknowledgments.
4. Corporate Merchandise Development:
- Assist in the design and ordering of corporate merchandise (e.g., branded apparel, office supplies);
- Work with vendors to ensure timely production and delivery of merchandise;
- Manage merchandise inventory and distribution.
5. Training Center Support:
- Coordinate training sessions, workshops, and other educational programs;
- Handle registrations, prepare materials, and ensure smooth operation of training events;
- Provide logistical support for trainers and participants, including scheduling and communication.
